What Is Appointment Setting? Meaning, How It Works and the Account-Based Alternative

Appointment setting is the work of contacting potential buyers and booking a first sales call or meeting between them and a salesperson.

Short answer. Appointment setting means reaching potential buyers by phone, email or LinkedIn and booking a first meeting with a salesperson. In B2B it is often outsourced and paid per meeting or per month. Its unit is the booked call. When a deal needs several people inside one company to agree, account-based selling works the whole named account instead.

What does appointment setting mean in B2B?

In B2B, appointment setting is the step between finding a possible buyer and the first sales conversation. An appointment setter, often an SDR (sales development representative), contacts people who fit a buyer description, checks a few basics and puts a call in the diary of a salesperson or founder. The salesperson takes it from there.

For the wider subject, see the B2B lead generation topic hub.

How does appointment setting work?

Most appointment setting follows the same four steps.

  1. A list. People who match a job title, industry and company size.
  2. Outreach. Calls, emails and LinkedIn messages in a sequence over a few weeks.
  3. A short check. Usually some version of budget, authority, need and timing.
  4. A booking. A calendar invitation for a first call, with notes for the salesperson.

It can be done by your own SDRs or by an outside provider. Outside providers are usually paid per booked meeting, a monthly fee or both. Our post Pay per meeting vs retainer compares the two models.

What is a qualified appointment?

A qualified appointment is a booked meeting that meets criteria agreed in advance: the right kind of company, a person with a part in the decision and a problem you can solve. The definition matters more than the count. A meeting with someone who cannot approve a purchase, or who accepted only to be polite, fills a calendar without moving a deal.

Write the definition down before any work starts, and agree that meetings which do not take place are not counted. The lead qualification checklist, account edition adds the account questions to the usual ones.

What is the difference between appointment setting and lead generation?

Lead generation finds and captures people who might buy. Appointment setting goes one step further and books a conversation with them. Lead generation is judged in contacts and conversion; appointment setting is judged in meetings booked and attended. Both work one person at a time. The lead generation entry covers the first half.

How is appointment setting different from account-based selling?

Appointment setting aims for one meeting with one person. Account-based selling aims for progress inside one named company, across the several people who must agree.

Is appointment setting worth it?

It can be, when buyers are many and similar, the sale is short and one person can say yes. It is weaker when a deal needs five people to agree, because one booked call with one of them is a start, not an inroad. Before paying for it, ask who will be contacted by company name, how a qualified meeting is defined and what is reported apart from the meeting count.

If you are comparing appointment setting services rather than learning the term, our appointment setting page explains how we work named accounts instead.

Why this works better on named accounts

A booked meeting is one person's yes to one call. If the call goes well, the rest of the buying committee still has not heard of you; if it goes badly, the setter moves to the next name and nothing is learnt about the company. On a named account, the first call is the beginning of the work. You know who else decides, you have a reason to reach them and every conversation adds to what you know about how that company buys. In our BEST SAP engagement, 800 accounts were worked and 22 were penetrated: progress is counted in accounts, not calls. The appointment setting script for enterprise accounts is written for that kind of first call.

Common questions

What is appointment setting in simple words?

Appointment setting is contacting people who might buy from you and booking a time for them to talk to your salesperson.

What does an appointment setter do?

An appointment setter calls, emails or messages potential buyers, checks that they fit, and books a first meeting for a salesperson. They usually hand over at that point and do not run the sales conversation.

Is appointment setting the same as telemarketing?

Not quite. Telemarketing often tries to sell on the call. Appointment setting only tries to book a meeting, and in B2B it now runs on email and LinkedIn as much as the phone.

Is Intandemly an appointment setting company?

No. Intandemly is the account-based selling company: a platform plus a dedicated consultant working your named accounts. We report on accounts and pipeline and do not promise a number of meetings.

When should a company move from appointment setting to account-based selling?

When booked calls are not turning into deals because other people at the company were never reached, when cycles run past a few months and when you can name most of the companies you want as customers.
